Purpose and Applicability
This Acceptable Use Policy (“AUP”) governs the use of Naviloq and its AI Controller feature by all users who can submit inputs to, configure, or otherwise interact with Naviloq, including through authorised third‑party access or integrations (collectively, “Users”).
The purpose of this AUP is to promote lawful, responsible, and safe use of Naviloq, protect individuals’ rights and privacy, and reduce the risk of misuse of AI enabled‑ functionality. This AUP applies to all use cases of Naviloq AI Controller unless expressly stated otherwise.
Naviloq may update this AUP from time to time to reflect changes in technology, applicable law, or newly identified risks.
Naviloq’s Support Team will conduct ongoing detection and monitoring activities to enforce this Acceptable Use Policy (AUP).
Please ensure you thoroughly review the AUP prior to using Naviloq or its AI Controller feature. If it is determined that you have breached the AUP, Naviloq reserves the right to restrict, suspend, or terminate your access to the platform and its services. Additionally, Naviloq may block or adjust AI Controller outputs if your actions or your inputs violate the AUP.
If you believe that outputs generated by the Naviloq AI Controller are inaccurate, biased, or potentially harmful, please report your concerns to Naviloq Support at enterprise@staria.com. Further guidance on Naviloq’s safeguards and responsible use recommendations are found below.
2. Regulatory Context and User Role
Naviloq includes AI enabled‑ functionality within the meaning of the EU Artificial Intelligence Act. Customers using Naviloq typically act as deployers of the AI Controller.
Accordingly:
Users are responsible for ensuring that Naviloq is used in accordance with applicable law, including the EU Artificial Intelligence Act and the General Data Protection Regulation (GDPR);
Users are responsible for ensuring an appropriate level of AI literacy among personnel who use Naviloq, including providing instructions and training necessary for informed and compliant use.
3. Permitted Use (Intended Purpose)
Naviloq may be used solely for legitimate business and operational purposes as expressly described in official Naviloq documentation and agreed contractual terms.
3. 1 Permitted Use Cases
Subject to this AUP, Naviloq and its AI Controller feature may be used to:
Support internal operational workflows, coordination, monitoring, planning, and process management;
Provide AI assisted recommendations, suggestions, prioritisation, alerts, or insights to support human ‑decision ‑making;
Automate or assist with routine, rule based, or low‑ risk‑ operational tasks under human supervision;
Analyse system, process, or usage data for operational insights, optimisation, and efficiency improvements, provided such data is lawful and permitted under this AUP;
Facilitate interaction with Naviloq functionality through AI enabled‑ interfaces, controls, or guidance mechanisms.
3. 2 Conditions for Permitted Use
Users must ensure that their use of Naviloq:
Complies with all applicable laws and regulations, including the EU Artificial Intelligence Act and GDPR;
Remains within Naviloq’s documented intended purpose;
Does not involve prohibited, hig hrisk, or regulated uses unless expressly authorised‑ in writing;
Is subject to appropriate human oversight, particularly where AI generated‑ outputs are used to support decisions.
4. Universal Usage Standards (Apply to All Use)
Users must not use Naviloq in any manner that:
Violates applicable law or regulation;
Infringes fundamental rights, including privacy, data protection, and non‑discrimination rights;
Compromises the security, integrity, or availability of Naviloq or related systems;
Attempts to reverse engineer, extract models from, manipulate, bypass, disable, or otherwise interfere with AI safeguards, controls, or technical limitations;
Misrepresents AI generated outputs as authoritative, final, or human generated‑.
Use Naviloq to generate, facilitate, or support any fraudulent activities, scams, phishing schemes, or the creation or distribution of malware that could cause financial loss or psychological harm to individuals or organizations is strictly prohibited.
Use Naviloq to create, generate, or assist in the production of falsified documents, including fake identification, licenses, currency, or any other government-issued documents, is not allowed under any circumstances.
5. Prohibited Data
Users must not upload, process, store, transmit, or otherwise make available through Naviloq any of the following data.
5.1 Special Categories of Personal Data (GDPR Article 9)
Naviloq must not be used to process special categories of personal data, including but not limited to:
Data concerning health;
Genetic data;
Biometric data used for the purpose of uniquely identifying a natural person;
Data revealing racial or ethnic origin;
Political opinions;
Religious or philosophical beliefs;
Trade union membership;
Data concerning a natural person’s sex life or sexual orientation.
5.2 Other Prohibited Data
Users must also not process:
Personal data of children;
Personal data relating to criminal convictions or offences (GDPR Article 10);
Data subject to statutory, regulatory, or professional secrecy obligations (including medical, legal, or financial secrecy), unless expressly authorised by applicable law and agreed in writing.
5.3 Prohibited Uses
Naviloq must not be used for:
Medical, clinical, diagnostic, therapeutic, or other healthcare related‑ purposes;
Fully automated decision making‑ that produces legal effects or similarly significant effects on individuals within the meaning of Article 22 GDPR;
Use of AI Controller outputs as the sole or decisive basis for decisions affecting individuals;
Any other regulated, safetycritical, or high‑ risk use case unless expressly authorised‑ in writing.
5.4 High‑Risk or Sensitive Use Safeguards
Where Naviloq is used in contexts that may affect individuals or consumers more directly (for example, internal decision support relating to personnel, access rights, or similar matters), Users must implement additional safeguards, including:
Human‑in‑the‑loop review: AI generated outputs must be reviewed by a competent human before being relied upon;
Internal transparency: Relevant stakeholders must be informed of the involvement of AI in producing outputs or recommendations;
Proportional controls: Oversight and review must be proportionate to the potential impact of the use case.
6. Human Oversight
AI Controller insights are generally intended to be accurate; however, AI‑generated outputs may be inaccurate, incomplete, outdated, or otherwise incorrect. Users must not assume that AI Controller outputs are fully correct or suitable without independent human review and validation.
Users are required to implement and maintain appropriate human oversight over the use of the AI Controller.
AI generated outputs:
Are intended to support, not replace, human decision ‑making;
Must be reviewed and assessed by a competent human user before being acted upon;
Must not be used autonomously in contexts where errors or misuse could affect individuals’ rights or interests.
7. User Responsibility
Users are solely responsible for:
Ensuring that any data processed through Naviloq is lawful, relevant, and appropriate;
Ensuring compliance with GDPR and all other applicable data protection, AI, and sector‑specific laws;
Implementing internal policies, instructions, and training for personnel using Naviloq;
Verifying the accuracy, appropriateness, and suitability of AI generated‑ outputs;
Ensuring that Naviloq is not used for prohibited or unauthorised purposes.
Naviloq does not assume responsibility for decisions, actions, or outcomes resulting from the User’s use of AI generated‑ outputs.
8. Monitoring and Enforcement
Naviloq may implement reasonable monitoring and safeguards to enforce this AUP. If Naviloq becomes aware of a violation, it may take appropriate measures, including:
Restricting or suspending access to Naviloq or specific features;
Terminating access or contractual relationships where applicable;
Modifying or blocking outputs that violate this AUP.
These measures are without prejudice to any other rights or remedies available under applicable law or contract.
